How Our Service Works
- Textile Inventories are established with the sales representative based on projected needs and experience.
- An inventory is made up of what is being delivered, what is in use and what is being taken away dirty (for example most uniforms are issued in sets of eleven—five solied, one being worn and five being processed).
- Once an item is used, your workforce will place in a bag to be picked up. Our CSR will your bags with an account ID label.

- Once back to our plant at the plant, bags are sorted and counted at a counting station.
- The information from the bag tag is used to identify the account and its items.
- Our counters then feed individual pieces into the counting station, by hand, to ensure the most accurate counts possible.
- Piece counts are transferred to the billing computer which in turn generates an invoice for the next delivery cycle based on the number of pieces, price and billing terms. (Please note that deliveries are based on a weekly turn around system. For example, what is picked up Monday will be delivered on the following Monday.)
Wearing Apparel
- Our wearing apparel have bar codes and RFID chips to identify the garment to an account.
- Garments are scanned three separate times for tracking purposes—counted in, sorting and counted out.
- A “Garment in Service Report” can be generated at any time to show the status of all the garments assigned to your account.
- Should a lost garment be returned a credit will be issued for the lost charge.
- When garments are first issued, there is a one-time prep fee of $1.00 per garment. This will show on our invoice as an ANC, or Ancillary Charge.
- Once a garment is missing over six months, we will charge for loss and replace it. This will show up as a LRR item, or Lost Replacement including Rental.
- Customers have the option to “protect” all their wearing appareal from loss or damage with our garment protection plan.
- Garments can be assigned and sorted by either size or by an individuals name.
- For larger accounts size is a much more cost-effective way to outfit your staff. It is easier to bring generic sizes then to process and deliver specific goods in an atypical time period.
Minimums and Damages
- The minimum is the least amount that will be charged every week on those items.
- The minimum is calculated by the total inventory of an item multiplied by 45%.
- For example, an inventory of 100 chef coats would be billed every week for at least 45 coats. If only 35 were used, you will be billed on the last delivery day of the week for the ten coats that were short of the minimum. If 46 coats were used then you would be billed for the 46.
- This is why it is extremely important for your CSR to watch for below average usage and for you, the customer, to pass along any staff changes to ensure the proper inventory adjustments. A lower inventory means a lower minimum.
- Damages are determined at the counting stations by the soil counter.
- Tears, burns and improper use will constitute damage and that item will be billed at the current replacement cost. For example, using a napkin to clean a grill is improper use.
- Mildew, wine and coffee stains are NOT damage.
- To test an item for damage, take the item, rub it together under hot water. If the stain begins to come out, then it is not damaged.
- The invoice will have the replacement charge on it as a line item. If the CSR does not have the damaged product that you are charged for, then he is to credit that amount off.
- Our CSRs have been instructed to show and leave the damaged items. They can be used as an in-house learning tool.

CSR – Customer Service Representative
Our chief contact for all of our accounts. The CSR is more than a driver—he is a consultant to our customers’ business. Every CSR is responsible for delivery and the pickup of the textiles, inventory maintenance, and ensuring the collection of monies.
Sales
To grow the business through the selling of not only the products we offer but the services our company provides that make us superior to our competition. Our sales force has two major markets to solicit to: new business just opening and existing business with a competitor. Success in either market is based on cold calling and tenacity.
Office
The office staff is responsible for customer service: answering the phones, AP/AR, specials, downloading the day’s activities from the handhelds and uploading the next day’s invoices. The office staff has a direct impact on every department and person in the company.
Production
The heart and soul of the operation. The plant employees separate, clean, finish, package and build the orders. They are on the front lines when it comes to producing quality products that our customers receive.

Mats
Designed for up to 10 years of service, our track control system matting is an important element in facilities maintenance. Unlike other mats, New System’s “Supermats” are tufted with an additional heavy-duty mono-filament line to trap 50% more dirt than any other matting product sold or rented. Additionally, our speckled mats patterns not only matches all decors, and hides the dirt that has been captured. With the additionof a scraper mat, up to 90% of dirt can be stopped at the door with only two mats.

Are there two different management groups managing Portland and Seattle?
New System is one family-owned company managing Portland and Seattle operations.
Where is your Corporate Office located?
Portland, Oregon.
Who do I call after 5:00PM and on weekends for emergencies?
All the CSR’s give out mobile phone numbers and goes out to all of the manager’s blackberries and owners 24/7. A weekend call person is available 8:00AM to 6:00PM by calling 503-232-8181 or 800-958-6920.
How long are the prices guaranteed?
6 months.
Do you wash your garments, towels, napkins and aprons with industrial uniforms?
No! We are a hospitality and medical uniform purveyor only. The medical is washed in a separatly from hospitality items.
When setting up my restaurant will all the uniforms be new?
Yes, all garments will be new and pressed, with a RFID garment tracking system sewn in.
How often do you change out your wearing apparel for replacement?
Approxiamtly every two years.
How are we billed on each item?
By the soiled pieces turned in.
What about damaged products?
You will receive the product with the invoice at the time of delivery or you will not be charged.
How do we receive credits and changes to invoices?
You will receive credits and charges off of the invoice at time of delivery, through handheld technology that customer service reps carry.
Do you press your chef coats?
Yes. New System is the only service provider we have found in the Pacific Northwest to do this.
Do you fold your bar towels?
Yes. That way they are easy to store on the shelves.
How will you set up our restaurants?
The Sales Representative will set up a time with the location managers that is convenient.
Are your invoices user friendly?
Yes, please see our list of abbreviations on the current customers page.
Do we have to separate dirty towels, linens and wearing apparel?
No. Each piece will be separated and counted at the production facility at New System. You are billed on piece not by the weight of the dirty bags.
How do you manage your garments?
Garment Management Program and the Garment Protection Program.
Do you have reports to manage our linen cost?
Yes. E-mailed out monthly.

At New System we know that the Earth’s resources cannot keep up with the demands that are being placed upon it. In an effort to protect our environment and preserve resources for generations to come, we have embarked upon a company-wide effort to not only re-use our products but the water it takes to process those goods.
Our business is green at its base: the vast majority of the products we rent to our customers are re-used many times over, greatly reducing the amount of refuse that goes into landfills and reducing the volume of materials that must be manufactured and shipped.
Since our business is a very heavy user of water, we recycle and reuse as much water—and the heat stored within—as possible. Then, we clean the water and discharge it into the city sewer system, verified by rigorous monthly testing to meet city and state standards.
We also work to minimize paper use by offering daily reports and invoices online, and by emailing monthly statements to customers, allowing them to view online and print only when necessary.
Measures such as these which save resources are not just good for business, they are good for everyone.
Some other specific measures we take to reduce our burden on the environment include:
- Recycling of plastic film
- Recycling of cardboard and paper
- Use of recycled paper
- Recovery of heat from waste stream to pre-heat water
- Recovery of steam condensate to pre-heat water
- Reuse of water. Clean rinses are used on front-end dirty rinses
- Upgrading of delivery fleet to more fuel-efficient diesel vehicles
- Emailing of statements instead of printing on paper
- Recycling of hangers (also provides jobs for people with disabilities and disadvantages)
- Treatment of discharge water for ph levels
- Monthly analysis of chemical usage to prevent waste
- Use of high-efficiency boiler and dryer(s)
